Hamilton Public Library Trustee Meeting - August 15, 2011
The board of Trustees of the Hamilton Public Library met at 6:30 p.m. on Aug. 15, 2011 at the library. Members present were John Kolditz, Nancy Denton, Cicily Knowles, Sharon Esterday, Dan Reinhardt, Jim Morris, Katie Dellavedova, Sherry Ruark and Carole Buerklin
President Dan Reinhardt called the meeting to order.
MINUTES Jim Morris moved and John Kolditz seconded that the minutes be accepted. Motion carried.
BILLS Jim Morris moved and Sherry Ruark seconded that the bills be paid. Motion carried.
REPORTS
Friends of the Library
--Nancy Gibson reported that the Garden Tour would not be held next year and ideas for a fund raiser are needed.
--The August 25th potluck will be at the Gibson’s
--Friends of the Library are planning a book sale
Finance
--Jim Morris moved that $12,000 be transferred to the General Account. Katie Dellavedova seconded. Motion approved.
--An independent audit will be in July this year.
Librarian’s Report
--Suggestions to replace Kurt Smith, who has moved from the area were Daniella Harris, Steve Arnel and Wendy Swank
--Dr. Kappemeyer’s family has requested items be donated to an historical society like the Kibbe Museum. The library would keep the portrait.
--The exterior painting is complete. The cost was $2,150 plus $100 for tree removal from the gutters. The painter suggested adding an industrial gutter guard. The bid was $900. A silver paint coating for the roof or a net like wire was suggested. No bid yet.
--The central air-conditioner was hit by lightning. Parts would be $1,257. A new air-conditioner would be $6,515. Will get bids when the adjustor has come.
--Rebecca Caudill Award-5th through 8th graders must read three books to be able to vote. Books can be read solo or in a book club. The reward money will be used to give away books.
--E-books update-Training will be Tues. Sept. 13th, 11:00-3:00. A 6 mo. subscription is $136 and $272 for a year. Records will be kept of use. Cards will be available in Sept. needed to use E-books. They are available for Nook, MP3, iPhones, some can be burned to a CD. Not all books are available for all media.
--Per Capita discussion-reviewed need to show planning. This includes trustees, administrator, annual report, monthly reports, minor statement and new long range, survey community needs, orientate new board members, attend local, regional, state, national conferences pertinent to libraries, and library to keep adequate records of library operations.
--Revenue allows us to sustain basic services.
--More can be added in Sept. before the report is submitted in Oct.

OLD BUSINESS
--Discussed second floor air-conditioners
NEW BUSINESS
--John Kolditz and Nancy Denton presented information on a digitization project. Naviant is an overhead like project which can scan 11” by 17” inch material. It was discussed whether to purchase for $1,290 or lease. Naviant will also scan for a fee. The presentation was given as something to consider. Possibly others could partner with the library in the use of this equipment.
