Hamilton Public Library
Trustee Meeting
November 17, 2015
 
The Board of Trustees met at 6:30 p.m. on November 17, 2015 at the library.  Those present were Jim Noble, Sarah Warinner, John Kolditz, Librarian Nancy Denton, David Morgan, Bob Schneider, Cicily Knowles, and Wanda Hansen.
 
The meeting was called to order by James Noble, President.
 
Minutes
The minutes were discussed and corrections made.  ?? moved to accept the minutes.  ?? seconded.  Motion passed.
Bills
The bill were reviewed. Discrepancies were explained.  ?? moved to pay the bills.  ?? seconded.  Motion passed.
Reports
 
Friends of the Library
The Friends are going to be involved in some.  He will come by horse and carriage via police escort.  The library is working in conjunction with the police department and their toy drive.  They will stay with the toy drive until 8 pm and deliver to their sites.  The library will have a toy drive on the 27th of November until December 13th.  Santa will give the children keys with a poem saying that some houses don’t have chimneys,  so the keys are placed on the doorknob and when Santa arrives we will use the key to get in and leave the key on the tree to show that he had come.
One fundraiser the Friends are considering is an adult v child spelling bee.  Another will be to have the second annual putt-putt golf.  They will meet for their next meeting on December 14 with a tea and cookie get together.  They would be happy to have any board members attend.  There were three new people at the Friends meeting last time.
Also, one of the Friends is going to take over the care of the Flower trough at the front of the building.
Finance
Cicily said we need to move double the amount of money since the board does not meet in December.  She verified with Nancy that the amount of $14,000 would be sufficient.  We haven’t gotten the e-rate yet which would take care of the phone and internet bill.  Nancy explained what the Deep Freeze program is.  There is some difficulty with this program from the upgrading to Windows 10. On the general account, there was an issue with being overdrawn on the statement.  It was due to a problem with the Federal Tax Deposit, where Nancy reported $222 more than was actually taken out of payroll.  It will be refunded, however, it caused a $55 dollar overdraw fee. 
There is a CD maturing.  Cicily moved that we roll over the CD for the next 6 months.  Sarah Warinner seconded.  Motion passed.
Librarian
Computer: Trying to put Windows 10 on the computer created problems with Deep Freeze.  They tried to tell us we only had two active licenses, when we really have 6.  They agreed to sell us new licenses at half-price, which amounts to $237.60 and they will be good for 3 years,  We still need the codes which Tony just received and he will put them on one computer at a time at his home, which costs us much less.
Food for Fines:  One can will take $1.00 off a fine.  Detergent and dish soap are more expensive so they will take $5.00 off a fine.  On December 13, both the Food for Fines and the Toy Drive will end and all will be taken to the First Christian Church food pantry.
November 19th is a family read night with a bingo game and a free book for both child and parent.
Personnel:   Nancy brought up the fact that Christmas bonuses needed to be discussed at this meeting since they will not meet in December.  The board went into executive session where whether to give bonuses or not and if so how much were discussed.
Cicily Knowles informed Nancy of bonus amounts so she could pay them in December.
Old Business
There were some discrepancies with the Children’s Computer policies and that will be addressed this month and discussed at next meeting. 
Nancy will have the minutes and agendas sent via email and have copies made at the library for those who aren’t able to get them off the computer.
Per Capita
Nancy is working on it and will have Jim Noble and Sarah Warinner sign it as it is due January 15th.  It was approved as written, but with a few glitches that needed to be fixed.
Children’s Computers
There are more teens who are using the computers.  There is not a lot of involvement from the high school so Nancy is holding the Nook classes.  She is unsure whether to remodel the upstairs teen are since she is not sure if it is going to be used.
 
New Business
John Kolditz is proposing that we buy a CD player to be checked out and be used with books on CD.  After discussion, it was decided that the CD player would be a good purchase to be made with Memorial money and not a significant enough risk of loss to the library.
 
Bob Schneider moved to adjourn.  David Morgan seconded it.  Motion passed.
